Workflow · RetentionA missed appointment is rarely a rejection. Most people simply forgot, got stuck, or rescheduled poorly. A calm, immediate message recovers many of them — and a cooldown rule stops the chase before it becomes annoying.
The blocked hour is gone, but the person is usually still interested. When nobody follows up, the no-show quietly becomes a lost client who books elsewhere.
Nine stages from a missed slot to a rebooked appointment — or a graceful, permanent cooldown.
A missed appointment wastes the slot and usually loses the client for good.
The appointment is marked no-show, or the time passes with no check-in.
An immediate, warm SMS acknowledges the miss and offers a one-tap rebook.
Response and reason are captured; anything sensitive routes to a human.
The record is marked no-show, the reason logged and a recovery stage set.
If there is no reply, a next-day call task is created for your team.
Two concrete times are offered and the new booking is confirmed.
After the agreed attempts, a cooldown rule stops contact and moves them to nurture.
No-show rate, recovery rate and root reasons are reported each period.

Short, warm and easy to act on. No guilt, no lecture, no long link.
The first text is deliberately gentle. It assumes the best, offers a quick way back in, and keeps the relationship intact — which is what makes rebooking likely.
Illustrative conversation. Attempt limits, cooldown windows and any no-show policy come from your rules, not invented by the agent.
The nine stages stay the same. The tone, the reason codes and the cooldown policy change completely.
The message focuses on rebooking the visit and never comments on the reason a patient missed it. Anything clinical in a reply is routed to the front desk or clinician, not answered by the agent.
Where the no-show frees an on-site slot, the workflow can immediately offer the time to a waitlisted customer, so the lost hour is recovered even when the original client does not rebook.
For one-to-one sessions, the tone is encouraging and the cadence patient. After the attempt limit, the person moves to newsletter nurture rather than more texts.
Recovering a no-show requires care. These guardrails are built in before go-live.
The script is warm and neutral. Shaming a client about a missed appointment is a reliable way to lose them, so it is explicitly out of scope.
You set the maximum number of attempts. Once reached, the workflow stops on its own and moves the contact to a slower nurture — it does not keep texting.
Anything about health, a complaint or a cancellation reason routes straight to a human with the full context, and the automated cadence pauses.
If a pattern appears, the agent can surface it to your team so a policy — confirmation or deposit — is applied by a person, never decided by the agent.
We report on outcomes from your own data. We do not publish invented benchmarks — these are the numbers we track and explain with you.
The share of booked appointments that are missed, tracked over time and by service type.
The share of no-shows that are rebooked through the workflow.
How quickly a recovered client books again — the faster the reply, the higher the return.
The reasons clients give, so you can fix the causes rather than only the symptoms.
