  • Day 0 · 2:00 pm Payment received — the welcome email goes out the same minute.
  • Day 0 · 2:01 pm Intake form link sent, with what to expect next.

The problem it solves

The sale closed, and then… silence

Winning the client is the easy part. What quietly damages the relationship is the gap that follows: a new customer waits days for a welcome, forms bounce back and forth, and nobody can say whose job the kickoff was.

  • The welcome depends on someone remembering to send it.
  • Intake forms and documents drift across email threads.
  • Kickoff scheduling drags while the client wonders if they were forgotten.
  • Onboarding steps live in one person’s head, so handovers drop them.
  • Admin churn eats the margin on every single new client.

What the system does

Every step after “yes,” handled on time

Each piece is configured to your service lines and grounded in the documents and policies you approve.

👋

Welcome sequences

An on-brand welcome minutes after the sale, plus what to expect and who they will hear from next.

📝

Intake forms

The right questions collected up front, with reminders that chase only the missing answers.

📁

Document collection

A simple upload path for the files you need, stored in your own system, not scattered in inboxes.

✍️

Policy & e-sign delivery

Sends contracts or policies for signature through approved e-sign tools — never on its own authority.

📅

Kickoff scheduling

A live-availability link so the kickoff is booked in days, not weeks, with a reminder attached.

🤝

Creates the tasks and owner assignments inside your team’s tools the moment a new client lands.

📈

Progress tracking

A clear status per client — what is done, what is outstanding and who is blocking it.

🔔

Timed touchpoints in the first weeks that keep a new relationship from going quiet.

✅

Completion alerts

Human in control

What stays human

Onboarding automation removes the chasing and the forgetting. It does not decide terms, exceptions or anything that carries legal or relational weight.

  • Contract terms, legal wording and what is sent for signature.
  • Exceptions for a client whose situation does not fit the standard path.
  • Sensitive conversations, complaints or an unhappy start.
  • Pricing, credits and any goodwill gesture.
  • The decision to slow down or pause onboarding when it is right to.

When a client replies with something outside the approved flow, the system routes it to a person rather than answering on its own.

Illustrative example — an exception

  • 10:00 New client flags a custom contract request.
  • 10:00 The flow pauses the signature step automatically.
  • 10:01 A person is alerted to review the terms.
  • 10:30 Onboarding resumes once the change is approved.

  • Accounting — document-heavy onboarding that cannot miss a step.
  • Coaches — first-week experience shapes retention.
  • Marketing Agencies — many concurrent clients, many moving parts.
Integrations

Runs on the stack you already have

Onboarding automation connects your sales tools to your delivery tools. Common connections include GoHighLevel and HubSpot for the client record, Google Workspace for documents and email, Calendly for the kickoff slot, and Stripe-compatible payment events via webhook to trigger the flow the moment a sale is paid.

If a connection is not native, an automation layer such as n8n, Zapier or Make usually carries the data between systems. We will be honest about any gap before you commit.

FAQ

Onboarding automation questions

Can it collect documents and forms?
Yes. Intake forms and document collection are core parts of the flow, with reminders that chase only the missing items until everything is complete and stored in one place.
Does it sign contracts on our behalf?
No. It can deliver a contract or policy for signature through an approved e-sign tool, but the terms, the legal wording and the decision to send them stay with your team.
What happens if a client skips a step?
The flow tracks progress and nudges the client on the specific missing step, and alerts your team when something is overdue rather than letting a new customer stall in silence.
Can onboarding differ by service or package?
Yes. Each service line can have its own welcome, forms, documents and kickoff steps, so a premium client and a starter client each get the right path for what they bought.
Where does client information live?
In your CRM and your own storage, not on our servers. The automation moves data between tools you already control, and access stays governed by your permissions.
How long does setup take?
It depends on scope and how many service lines you have. Mapping the steps, wiring the forms and documents, and connecting the CRM is usually a staged rollout. We confirm dates after the audit.
