Sales pipeline automation that keeps deals moving

Automatic stage changes, next-step tasks, stale-deal alerts and cleaner forecasts — your reps spend time selling instead of updating fields.

Stages move on triggers Next steps always set Honest forecasts

Illustrative example — one deal, automated

  • Mon 9:02 am A new deal is created from an inbound form.
  • Mon 9:02 am It is assigned by territory and set to Qualified.
  • Tue 8:00 am No activity for a day → a next-step task is created for the owner.
  • Wed 2:15 pm The proposal is sent → the stage moves to Proposal and a follow-up task is scheduled.
  • Fri 4:00 pm No reply → a proposal nudge is queued automatically.
  • Next Mon A stale-deal alert is raised ahead of the pipeline review.

The problem it solves

Deals do not die — they stall

Most lost deals are not lost in a single decision. They drift: the stage is out of date, the next step was never set, and nobody notices until the quarter ends and the forecast is wrong.

  • Stages only move when a rep remembers to drag a card, so the pipeline is already stale.
  • “What is the next step?” has no answer on half the open deals.
  • A quiet deal looks healthy until it has been silent for weeks.
  • Forecasts are built on optimistic stages rather than current activity.
  • Reps spend the last hour of the day updating fields instead of calling people.

Illustrative example — the quiet stall

  • Week 1 A proposal goes out; the rep plans to follow up.
  • Week 2 Nothing is scheduled, so the follow-up never happens.
  • Week 4 The deal still sits in the Proposal column, looking healthy.
  • Week 6 The prospect has quietly chosen someone else.
  • Review The forecast is off, with no record of where it slipped.
What the system does

Keeps the pipeline current, so the team can sell

Every rule is mapped to your process and your CRM — nothing is forced into a generic template.

⚙️

Stage automation on triggers

When a proposal is sent, a call is logged or a form is filled, the deal moves stage on its own.

✅

Next-step task creation

Each stage change creates the task that should follow, assigned to the right owner with a due date.

🕒

Stale-deal alerts

Any deal with no activity past your threshold is flagged before it quietly dies in the pipeline.

🎯

Deal scoring & prioritization

Score deals by value, stage age and engagement, so reps work the strongest opportunities first.

🔀

Ownership & routing rules

Deals are assigned by territory, product, value or round-robin the moment they are created.

🧾

Activity logging

Calls, emails and notes land on the deal timeline automatically, so the record is complete.

📄

Quote & proposal status

See which proposals are sent, viewed, accepted or stuck, without having to ask anyone.

📊

Pipeline reporting

Stage-by-stage counts, conversion and age, ready to review without a spreadsheet scramble.

🔮

Forecast support

Weighted projections built from real stage data, so the number you present is defensible.

The pipeline, stage by stage

What happens automatically at each stage

Illustrative stage names — we map the automation to your own stages, not the other way around.

New

Deal created

A lead arrives from any channel. The deal is created, tagged with source and campaign, and assigned by your rules — no manual entry.

Qualified

Next step set

The stage moves on a booked call or a completed qualification, and the next-step task is created for the owner with a due date.

Proposal

Follow-up queued

Sending the proposal moves the stage and schedules a follow-up. If there is no reply by your threshold, a nudge goes out and the deal is flagged.

Won

Handoff & forecast

Marked won, the automation hands off to onboarding, updates the forecast, and files the deal cleanly for reporting.

Human in control

What stays human

Automation keeps the record current. The decisions that shape the pipeline stay with your team.

  • Deal strategy and which opportunities to pursue.
  • Negotiation and pricing.
  • Forecast sign-off and how stages are defined.
  • Exceptions and strategic accounts that need a personal touch.
  • The rules themselves — thresholds, ownership and weightings.

When a deal breaks the pattern — an unusual value, a stalled negotiation or a key account — the system raises it for a person rather than deciding on its own.

Illustrative example — the alert, not the decision

  • Mon A high-value deal has had no activity for ten days.
  • Mon The system flags it as stale and notifies the owner.
  • Mon It does not move the stage or close the deal.
  • Mon The rep decides: re-engage, re-qualify or mark it lost.
  • Tue The decision is logged, and the forecast updates accordingly.

Where it works best

Integrations

Works inside the CRM you already run

Pipeline automation lives in your CRM rather than beside it. Common connections include HubSpot, Pipedrive, GoHighLevel and Salesforce for the pipeline itself, plus an automation layer for anything the native rules do not cover — by native integration where one exists, and via API or webhook where it does not.

If your CRM cannot support the automation you want, we will say so honestly before you commit. Where a direct connection is missing, n8n, Zapier or Make is often the bridge that keeps stages, tasks and reports in sync.

FAQ

Sales pipeline questions

Which CRMs does it work with?
HubSpot, Pipedrive, GoHighLevel and Salesforce are common, and most modern CRMs can be reached via API or webhook. If your CRM cannot support the automation you want, we will tell you honestly before you commit.
Does pipeline automation replace my sales reps?
No. It removes the updating, remembering and chasing around each deal. Reps still build relationships, negotiate and close — they just spend more of the day doing that instead of maintaining fields.
How do you decide when a deal is stale?
By your rules. You set an activity window per stage, so a deal waiting on a proposal behaves differently from one waiting on a first call. Stale deals are flagged, not closed automatically — a person decides what happens next.
Will our forecasts actually get more accurate?
Forecasts improve when the data underneath them is current and consistent, which is exactly what pipeline automation enforces. It does not promise a number — it gives you a defensible one by removing the guesswork.
Can we customize stages and rules?
Yes. We map the automation to your existing stages rather than forcing a template on you. Stage definitions, thresholds, ownership rules and follow-up timing are all configurable and can change as your process evolves.
How long does setup take?
It depends on scope. A focused setup is usually a staged rollout — audit, stage and rule mapping, build, approve, launch — rather than a long project. We confirm realistic dates after the audit, with no fixed promises.
