  • Tue 4:12 pm A client taps the booking link on your website.
  • Tue 4:12 pm Live availability shows Thursday 9:00 am and Friday 1:30 pm.
  • Tue 4:13 pm The client books Thursday 9:00 am; the confirmation is sent.

What the system does

Everything around a booking, handled

From the first open slot to the recovery message after a no-show, the booking layer keeps the calendar honest.

🔄

Live availability sync

Reads real open slots from your calendar, so only times you are genuinely free can be booked.

🔗

Self-serve booking links

One link in email, SMS, chat or on your site lets clients pick a time without any back-and-forth.

✅

Instant confirmations

A confirmation with the time, place and what to expect goes out the moment a slot is taken.

⏰

Smart reminders

Timed email and SMS reminders ahead of the appointment, tuned to how much notice your service needs.

🔁

Reschedule & cancel flows

Clients can move or cancel in a click, and the calendar updates itself — no silent gaps left behind.

🚑

No-show follow-up

When someone does not show, a polite rebook message goes out automatically to recover the slot.

🧩

Waitlist & gap filling

A cancellation can trigger a waitlist or short-notice offer, so freed slots get filled rather than wasted.

🛡️

Buffer & capacity rules

Travel, prep and downtime are respected, with per-staff and per-slot limits so bookings never stack.

🧾

Calendar & CRM sync

The booked appointment and its status land in both the calendar and the CRM record, automatically.

The problem it solves

Booked, forgotten, lost

A booking is only worth what it brings through the door. When scheduling lives in a diary, a spreadsheet or someone’s memory, the appointment can be confirmed and still never happen.

  • Scheduling turns into a game of phone tag that costs both sides time.
  • No reminders go out, so a genuine client simply forgets.
  • Two people get pencilled into the same slot, and one is disappointed.
  • A no-show is noted but never followed up, and the client drifts away.
  • Cancelled slots sit empty when a waitlist could have filled them.

Illustrative example — the no-show loop

  • Mon Booking taken by phone and written in a diary.
  • Tue No confirmation and no reminder goes out.
  • Thu The client forgets and does not show.
  • Thu The slot is gone and nobody follows up.
  • Later The client assumes it was handled; the work is lost.

The client picks from live open slots.

3

A confirmation lands instantly.

4

Remind

Timed reminders by email and SMS.

5

Attend

The appointment happens — or is rescheduled in a click.

6

Human in control

What stays human

Automation handles the routine scheduling. The judgement calls still belong to your team.

  • Exceptions and edge cases, such as complex or overlapping appointments.
  • VIP and policy scheduling rules that should not be self-served.
  • Refunds, fees and anything commercial tied to a booking.
  • Emergencies that need a person right away.
  • The reminder timing, buffers and capacity rules themselves.

When a booking falls outside the rules you set, the system pauses and asks a person rather than guessing at what should happen.

Illustrative example — a gap gets filled

  • 9:02 A client cancels Thursday 2:00 pm.
  • 9:02 The slot is released and a short-notice offer goes to the waitlist.
  • 9:08 A waitlist client books Thursday 2:00 pm.
  • 9:08 Confirmation and reminders are scheduled automatically.
  • 9:09 The calendar and the CRM both reflect the new booking.

Where it works best

  • Dental — reminders and reschedules that keep chairs filled.
  • HVAC — arrival windows and confirmations clients can trust.
  • Dealerships — service and test-drive slots booked without phone tag.
Integrations

Built around your existing calendar

Booking automation connects to the calendar and CRM your team already runs. Common connections include Calendly and Google Calendar, Outlook-compatible calendars, GoHighLevel and HubSpot for the record, and Twilio or WhatsApp for reminders — by native integration where one exists, and via API or webhook where it does not.

If your calendar is unusual, we will tell you honestly before you commit. Where a direct connection is missing, an automation layer such as n8n, Zapier or Make is often the bridge that keeps everything in sync.

FAQ

Appointment booking questions

Which calendars does it connect to?
Google Calendar, Outlook-compatible calendars, Calendly and GoHighLevel are common connections, alongside the CRM you already use. Where a direct connection is missing, we bridge it via API or webhook — and we will tell you honestly if your calendar is not a fit before you commit.
How does it avoid double-booking?
It books against live availability and applies the buffer and capacity rules you set — travel time, prep time, staff limits and per-slot capacity. A slot can only be taken once, and cancellations are released back automatically.
When are reminders sent?
Reminder timing is yours to set — a common pattern is one reminder a day ahead and one a few hours ahead, by email, SMS or both. You can adjust the cadence per appointment type if some bookings need more notice.
Can clients reschedule themselves?
Yes. A link in the confirmation and reminder lets clients move or cancel their appointment, and the calendar updates itself. Reschedule limits and cut-off windows are configurable so the calendar stays sane.
How does it reduce no-shows?
By combining confirmations, well-timed reminders and an easy reschedule path, plus an automatic rebook message when someone does not show. We measure the change against your own before-and-after, not a promised figure.
How long does setup take?
It depends on scope. A focused setup is usually a staged rollout — audit, calendar and rule mapping, build, approve, launch — rather than a long project. We confirm realistic dates after the audit, with no fixed promises.
