The 30-Minute Lead-Response Audit
Thirty pass-or-needs-work checks across the five stages every enquiry passes through. Score your own process honestly, and your result shows where the journey is leaking — and what to fix first.
What you will score
- 1Capture — every enquiry lands
- 2Speed to lead — the first reply
- 3Follow-up — the cadence
- 4Booking & reminders
- 5Tracking & attribution
Enquiries rarely die from a single mistake. They leak — a form that only takes an email, a call that rings out at 6pm, a quote that never gets a follow-up, a booking nobody confirms. Each leak looks small on its own. Together they decide how much of your marketing turns into booked work.
This audit walks the five stages an enquiry passes through: capture, speed to lead, follow-up, booking and reminders, and tracking and attribution. Six checks per stage, all based on the operating order we use with clients. Nothing here requires new software — score what happens in your business today, and the summary will point to the stage that needs attention first.
Thirty minutes, thirty checks
Score what actually happens — not what the process document says should happen.
How to run the audit
- Block 30 minutes. Open last week's enquiries — calls, forms, DMs, texts — next to this page.
- Be strict. Mark a pass only if it happens for essentially every enquiry, not most of them.
- Score what happens. “We mean to follow up” is a needs work, however good the intention.
- Finish all 30 checks. Unanswered checks are not counted, so a half-done audit only half-works.
How scoring works
- Five stages, six checks each — 30 checks in total.
- Every pass is one point; the score bar fills as you mark checks.
- Each stage keeps its own score, so strengths and leaks sit side by side.
- At the end, the summary ranks the stages where the most checks are failing.
There is no benchmark table and no industry average on this page, because the score is about your process, not someone else's. Your answers stay in your browser; only the gate form sends anything, and only what you type into it.

A pass is one point. Unanswered checks count as neither pass nor needs work — finish all 30 for the full picture.
1. Capture
0 / 6 passEvery enquiry lands somewhere you can act on.
Every enquiry — form, call, DM, text or walk-in — ends up in one list you can act on.
Your website forms ask for a phone number, not just an email address.
A form is reachable within one click from every page of your site.
Missed calls create a lead record instead of ringing out into nothing.
Social DMs and comments get a real response on the day they arrive.
Each new lead is tagged with its source the moment it arrives.
2. Speed to lead
0 / 6 passThe minutes after an enquiry decide whether it becomes a conversation.
A new enquiry gets its first reply within five minutes during working hours.
New enquiries are answered in the evening and at weekends too.
The first reply comes on the same channel the lead used.
The first reply asks for the detail that qualifies the lead.
First response does not wait for one specific person to be free.
You could say your average first-response time for last month without guessing.
3. Follow-up
0 / 6 passA lead who has not replied yet is still a lead.
A lead who does not reply gets at least three follow-ups over two weeks.
Every message has an easy way out, and opt-outs are honoured immediately.
Quiet leads from past months get a reactivation message at least once a quarter.
Follow-up goes out on schedule even in your busiest weeks.
Quotes and estimates keep getting followed up until they get a yes or a no.
You read your own follow-up messages and improve the wording over time.
4. Booking & reminders
0 / 6 passFrom interest to a confirmed appointment, without friction.
A qualified lead can pick a time and book it without a scheduling back-and-forth.
Your calendar shows true availability, so two people can never claim the same slot.
Every booking gets an immediate confirmation in writing.
Every appointment gets at least one reminder before it happens.
A no-show gets a rebooking message instead of silence.
When someone books, their record moves to the next stage without manual entry.
5. Tracking & attribution
0 / 6 passIf you cannot see where leads come from, you cannot fix what pays.
You can name the source of every lead in last month's list.
You know your booking rate per source, not just your total lead count.
You can tell which channel produces booked work, not just the most leads.
Your campaigns, links and forms all carry consistent tracking (UTMs or equivalent).
A weekly or monthly report exists without anyone assembling it by hand.
You can point to one number that tells you lead handling is getting better.
